Are you a highly skilled and experienced Payroll Director? Join our multi-state nonprofit organization, headquartered in California! As the Payroll Director, you will be responsible for overseeing and managing payroll processes for our organization, ensuring accuracy, compliance, and timely delivery of payroll services.
Experience with Kronos, UKG, or a comparable software platform is required for this role.
This is a HYBRID (remote and in-person) position.
ABOUT SENECA Seneca is a 140 million dollar, multi-service mental health nonprofit agency primarily serving youth and their families.
There are currently over 1400 employees, with programs located throughout California and Washington and with employees residing in throughout the country.
Services are 90-95 percent funded through federal, state, and local county government entities.
This is a hybrid position, with some onsite, in-person work required at Seneca's headquarters in Oakland, CA.
Responsibilities:
Payroll Management:
Oversee and manage all aspects of the payroll function for our multi-state organization.
Ensure accurate and timely processing of payroll for all employees, including salaried, hourly, and contracted workers.
Review and verify payroll data, including timesheets, commissions, bonuses, and deductions, to ensure accuracy and compliance with company policies and relevant regulations.
Collaborate with HR and Finance departments to ensure accurate recording and reporting of payroll expenses, taxes, and benefits.
Maintain up-to-date knowledge of federal, state, and local payroll laws and regulations, and ensure compliance in all payroll processes.
Resolve payroll-related issues, discrepancies, and inquiries in a timely and professional manner.
Payroll System Management:
Utilize and administer the Kronos/UKG software system to manage payroll functions effectively.
Ensure accurate configuration and maintenance of the payroll system, including employee data, tax information, deductions, benefits, retirement, and other relevant components.
Collaborate with IT or relevant stakeholders to troubleshoot and resolve any technical issues related to the payroll system.
Compliance and Reporting:
Prepare and submit required payroll tax reports, including federal, state, and local tax filings, in compliance with applicable laws and regulations.
Prepare and submit any applicable federal, state, and local pay data, paid leave programs, worker's compensation, and EEO (Equal Employment Opportunity) reporting in compliance with regulatory requirements and deadlines.
Ensure accurate and timely processing of W-2 forms and other payroll-related tax documents for employees.
Generate payroll reports and analytics to support HR, Finance, and management decision-making processes.
Collaborate with external auditors during payroll-related audits and provide necessary documentation and information.
Periodically review and update the payroll system to ensure optimal utilization and effectiveness, incorporating any relevant system updates, enhancements, or features that improve payroll processes and align with the organization's needs.
Team Management and Leadership:
Supervise and lead the payroll team, providing guidance, training, and support to ensure high-quality payroll services.
Set performance goals, conduct regular performance evaluations, and provide constructive feedback to enhance the team's performance and development.
Foster a positive and collaborative work environment within the payroll team and establish effective communication channels with cross-functional departments.
Create and implement training resources for the effective training and onboarding of new staff and leadership regarding payroll functions, ensuring they have the necessary knowledge and understanding to fulfill their responsibilities accurately and compliantly.
Qualifications:
Bachelor's degree in accounting, finance, or a related field is preferred.
At least 5 - 7 years of experience processing large complex payrolls, including payroll taxes, benefits, deductions, and reporting.
Strong knowledge of federal, state, and local payroll laws, regulations, and compliance requirements.
Experience with Kronos or UKG software (or equivalent) and proficiency in using payroll systems and related tools.
Strong analytical and problem-solving skills, with the ability to identify and resolve payroll-related discrepancies and issues.
Excellent attention to detail and accuracy in working with numbers and data.
Exceptional organizational and time management skills, with the ability to meet tight deadlines and manage multiple priorities.
Strong leadership and team management skills, with the ability to motivate and develop a high-performing payroll team.
Excellent communication skills, both written and verbal, with the ability to effectively collaborate with stakeholders at all levels.
TB test clearance, fingerprinting clearances, and any other state/federal license and certification requirements.
Proof of COVID-19 vaccination required.

Benefits:
Starting at $134,000 - $153,160 per year.
Actual salary is dependent on creditable experience above the minimum qualifications for the role.
