Pension Plan Health Insurance Vision and Dental Insurance Generous Paid Time Off Plans POSITION SUMMARY The Office & Events Coordinator provides general office support services to the employees at MIEC and coordinates company events - onsite and offsite board meetings and employee events.
This role manages the mailroom, which includes printing and photocopying services.
This role also picks up and delivers mail to local Post Office, manages the reception area, and provides general department-specific support, when needed.
The Office & Events Coordinator is also responsible for administering the company's disaster response program.
ESSENTIAL FUNCTIONS Office Support and Tenant Coordination Serves as on-site liaison with building tenants.
Manages the reception area; greets guests to MIEC.
Works with various departments to meet their mailing, printing, and office supply needs.
Manages the inventory and orders supplies.
Aids in planning and coordinating office-wide processes such as moves, equipment installations, and other events or projects with internal and external stakeholders.
Mailroom and Equipment Management Manages daily mail delivery and distribution, mail vendor and other related invoices; Picks up mail at the U.
S.
Post Office each business day.
Performs printing projects Monitors functionality of printers, scanners and fax machines in the Oakland office.
managing external support when needed.
Performs IT-related tasks in the building, including but not limited to, setting up new workstations and equipment, troubleshooting technical issues for employees, replacing broken equipment and resetting WiFi.
Manages the company's phone system, in conjunction with a vendor.
Develops and delivers training on the phone system.
Event Coordination Helps plan logistics for Board meetings and company events, including searches for venues; negotiation of venue contracts; planning and coordination of event details with venues, vendors, and guests; maintains event budgets; coordinates meeting materials; and coordinates payment of associated invoices and analysis of event costs and patterns.
Assists with the execution of various employee recognition activities, such as placing orders with vendors, and sourcing corporate gifts.
Security and Emergency Response Administers the company's disaster response program, including maintaining appropriate inventory of disaster bags.
Manages the shred bins throughout the building.
Manages the security badge system and badge distribution process.
Assists with the monitoring of the building security cameras, on a limited basis.
Works with the People Operations Department to obtain annual MVR checks for all company drivers.
Departmental Support Provides strong customer service to MIEC employees and the building through performance to administrative support tasks, as needed.
Collaborates with the Facilities Specialist on a daily basis, effectively helping support the needs of the building, and performing their duties in their absence as backup, including large-scale invoice printing; general support of building operations; and monitoring of the physical security of the building to ensure the physical safety of MIEC employees and guests.
Requirements:
Qualifications Education:
High school diploma required.
Bachelor's Degree preferred.
Licenses/Certification:
Must have valid California driver's License, and clean driving record.
Experience:
At least three (3) years of administrative support and/or customer service experience working in an office environment preferred.
At least two (2) years of experience organizing corporate events preferred.
KNOWLEDGE/SKILLS/ABILITIES Comfortable with technology, Intermediate proficiency with Microsoft Office software (Word and Excel) and Adobe Acrobat, Working knowledge of office equipment.
Ability to communicate and interact with others professionally and effectively; Excellent face-to-face customer service skills and good phone etiquette.
Strong attention to detail, organizational and time management skills, including the ability to multitask.
Ability to lift and carry heavy office equipment and other items.
Reliable and conscientious, and has the ability to maintain confidentiality.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
